Agency & Operations Coordinator 

The Agency and Operations Coordinator will work alongside the VP of creative services and president, the creative team and account service team to provide overall day-to-day service and support to ensure the effective execution of both agency and departmental objectives in company operations and public relations. The Agency and Operations Coordinator will be able to work in a hybrid administrative and production support role to successfully manage administrative operations for the agency as well as provide creative and production support.

Responsibilities

 The agency and operations coordinator will be responsible for: 

  • Agency Administrative Support
    • Answering and directing all outside phone calls
    • Checking and sorting the mail daily
    • Ordering and keeping inventory of all office supplies
    • Organizing and scheduling internal team meetings and client meetings as needed
    • Managing administrative tasks for the president as needed
    • Assisting with the agency’s accounting operations to include filing, billing, accounts payable and accounts receivable
    • Identifying opportunities to improve processes and programs the agency utilizes to automate or eliminate manual, labor-intensive processes
    • Routing the monthly billing sheet to all team members by the 25th of the month prior to billing
    • Assisting in the preparation and proofing of client proposals for new business
    • Serving as a proactive financial steward for the agency to identify cost-saving measures
    • Monitor the agency’s external email account to identify emails for action from the president or other team members for new business, internships, etc.
  • Creative & Production Support
    • Collaborating with internal team members to deliver a high-touch client experience and monitor internal job flow to ensure timeliness in day to day operations
    • Providing support and assisting the VP of creative services, production director and creative director in various integrated marketing and communication activities for clients including vendor coordination, print orders, event planning and coordination assistance, photography, videography and email marketing
    • Assisting in agency project management by coordinating details internally and externally for client projects
    • Assisting with any IT requests and pushing IT inquiries and tickets to IT contractor
    • Participating in brainstorming sessions and conducting research to identify opportunities for clients
    • Participating in internal team meetings and client meetings as needed
    • Assisting in the coordination and execution of client events

    • Contributing to and overseeing administrative tasks such as coordination/distribution of client projects such as tracking invoices from external vendors and writing purchase orders for external vendor costs

    • Working with the creative team to craft project timelines, tasks and milestones based on resources, scope of work and priority

  • Operations:
    • Coordinating agency-wide community outreach and volunteer initiatives

Junior Designer

As a member of the creative team, the Junior Graphic Designer will be responsible for carrying out the execution of design concepts for clients and the agency as well as providing support for the creative director, VP of creative services and account team to ensure all creative deliverables are produced on time. The junior designer is responsible for executing design solutions based on approved creative direction for social media content, e-blast design, graphic design, tracking and reporting on public relations and marketing activities including impact of website traffic, e-blasts stats, etc. The junior designer is also responsible for developing and maintaining websites for clients, collaborating with the creative team to format artwork, ensuring print quality standards are met and collecting, processing and organizing files. The junior designer participates in internal team meetings and client meetings as needed and must be able to troubleshoot creative issues with a creative solution to ensure brand standards, design integrity and quality are met.

Qualifications
  • BA or BFA in graphic design
  • 2 or more years of agency experience a plus
  • Fluent in Adobe Creative Suite (InDesign, Illustrator and Photoshop)
  • Knowledge of WordPress, SquareSpace, Shopify or other website platforms

JJPR Internship Program

Available internships:  
JJPR accepts one public relations intern and one creative intern for each spring and fall semester.

 

Compensation:  No monetary compensation; all internships are for college credit. JJPR Agency will work within prescribed parameters to provide interns credit hours with their respective college or university. All internship candidates must provide resumés, writing and/or design samples and interview with agency personnel prior to acceptance.

JJPR Fellowship Program

The JJPR Fellowship Program is a 12-week, full-time immersive work experience and agency training program that begins June 1, 2022, and ends August 17, 2022. Open to recent college graduates or college seniors, this paid and highly competitive opportunity will give aspiring public relations, marketing and creative professionals the chance to learn from and work alongside the team in-person at JJPR. The JJPR Fellowship Program is designed to prepare soon-to-be or recent college graduates with a strong foundation and desired industry skills to land their first job in communications.

 

Available fellowships per semester:  
One public relations fellow accepted for summer term
One creative fellow accepted for summer term

 

Compensation: Candidate(s) selected for the 12-week Fellowship Program will receive compensation to be determined upon acceptance. All fellowship candidates must provide resumés, writing and/or design samples and interview with agency personnel prior to acceptance.
